The University awarded a contract for Hotel accommodations for Conference in Rome, Italy to Fondazione Opere Antoniane, Rome, Italy, for an estimated $100,000.
Hotel accommodations for the First International Congress on Post harvest Loss Prevention hosted by the ADM Institute in Rome, Italy, October 4-7, 2015. Conference room rental for a maximum of 4 days at a total cost of 20750 Euros with approximate $31000 USD (approximation with conversion) all taxed at 22%. Room breakout cost is the following: Auditorium 3 days at $17875 USD, San Bernadino Room 3 days $2975, Jacopone Room 3 days $2250, San Francesco Room 3 days $4500, Santa Chiara Room 3 days $1150, and space for Welcome Reception 1 day $2350. Food and beverage for conference consists of the following: 3 breakfasts at 8 Euro per person with 10% tax with 200 people per breakfast (600 total meals) for 5280 Euro-approximately $7000 USD with conversion, 3 lunches at 23 Eur per person with 10% tax with 200 people per lunch (600 total meals) 8800 Euro-approximately $10900 USD, 5 breaks at 8 Euro per person with 10% tax with 200 meals per break (1000 total meals) 8800 Euro-approximately $10900 USD, 3 receptions 15 Euro per person with 10% tax with 100 meals per reception (300 total meals) 5000 Euro-approximately $6300, and extra seating during meals 2000 Euro-approximately $2800. Audio/Visual/Technical rental includes the following: technical support for 3 days at 2700 Euro with 22% tax-approximately $4020, additional technical support-20 hours at 50 Euro per hour with 22% tax 1000 Euro-approximately $1500, Audio/Visual recording for 3 days 650 Euro at 22% tax-approximately $3000, and computer usage for 4 days for 4 computers 1400 Euro- approximately $1700.
The University has determined that this purchase is only economically available from this source because the Only venue with the dates needed and the space required for the Conference and the sole economically feasible source due to pricing.

We will hold a public hearing at the date, time and location specified below, if we receive a request to testify regarding the sole source determination. We will also hold a hearing if any vendor submits a signed statement showing the capability to provide the stated supplies/services at or below the amount indicated.

The public hearing allows any interested party the opportunity to testify for or against the sole source determination as described in this notice. The purpose of the hearing is to receive information from the public in a reasonable manner. Formal rules of evidence will not apply. The hearing officer will produce minutes of the hearing and may record it in order to aid in the production of the minutes. After conclusion of the hearing we will decide whether the sole source determination was appropriate.

We must receive any request to testify and any vendor statement no later than the registration date and time indicated below. If we do not receive a timely request or statement, we will not hold the hearing. We reserve the right to cancel the procurement prior to any scheduled hearing. Please confirm the status of the hearing with the Hearing Contact.
