Request for Proposal: Multi-Function Copier Program
Due to the fact that several vendors did not meet administrative compliance with BEP Utilization Plan requirements, in order to maximize competition, this solicitation is being cancelled and will be reissued under solicitation EIU23JDR002.
Q&A#2 has now been attached to the solicitation. The RFP due date will remain the same on Tuesday, December, 7, 2021. As a reminder, this solicitation contains a BEP goal. Be sure the BEP Utilization Plan is completed and submitted with your proposal.

The Department of Procurement, Disbursements and Contract Services on behalf of The Board of Trustees of Eastern Illinois University is seeking proposals from responsible Vendors to provide multifunctional copier devices on a cost per copy basis. Proposals submitted are to be in accordance with the outline and specifications contained herein and are to remain in effect from the date of submission until a final award is made. Any resulting agreement shall be for an initial period of five years with the University's option to renew for one additional five-year option period. There is a scheduled pre bid meeting on Tuesday, October 26, 2021 at 10:00am. This meeting will be held virtually on Zoom. Information on how to join is in Section 1.5 of the RFP. The due date for this Request for Proposal is Tuesday, November 30, 2021 at 2:00pm. Amendment #1- The pre-bid meeting is being moved to Thursday, October 28, 2021 at 10:00am. The University reserves the right to accept or reject any and all responses or parts thereof.
Vendor may expect payment thirty to sixty days after receipt of invoice, unless otherwise stated in the bid documents.
This procurement may be contingent on Board of Trustees approval.
Illinois Department of Human Rights (IDHR) eligibility number is required on all proposals, if applicable.
There is a 6 percent BEP goal for this procurement. See solicitation documentation for details.
The contract(s) for this solicitation could exceed $50,000 annually.
This transaction is subject to the State Board of Elections registration and certification requirements of Public Act 095-0971.
